Configuring Multi-Factor Authentication (MFA)
What is MFA?
Multi-Factor Authentication (MFA) adds an extra layer of security to your CaseCompass account by requiring a time-based code from your mobile device in addition to your password when logging in. CaseCompass uses MFA to be in compliance with HIPAA and current best practices for software development.
Step 1: Install an Authenticator App
Before you can enable MFA in CaseCompass, you'll need to install an authenticator app on your smartphone. You are free to use whatever MFA app you like, but if you do not have one installed already, choose one of these recommended apps:
- Microsoft Authenticator - Free, user-friendly with cloud backup
- Google Authenticator - Simple, straightforward interface
- Authy - Multi-device support with encrypted backups
To install: Open the App Store (iOS) or Google Play Store (Android), search for your chosen app, and tap "Install" or "Get."
Step 2: Receive Your Login Credentials
You will receive an email from the CaseCompass team containing:
- Your username
- Your temporary password
Keep this information handy for the initial login.
Step 3: First-Time Login
- Navigate to the CaseCompass login page
- Enter the username provided by the CaseCompass team
- Enter the temporary password provided by the CaseCompass team
- Click Sign In
Step 4: Change Your Password
Immediately after your first login, you'll be prompted to change your password.
- Enter your current (temporary) password
- Enter your new password
- Confirm your new password
- Click Change Password
Password Requirements
Your new password should meet the following requirements:
- Minimum length of 8 characters
- At least 1 number
- At least 1 special character
- At least 1 uppercase letter
- At least 1 lowercase letter
Step 5: Set Up MFA
After changing your password, you'll automatically be prompted to set up MFA. A QR code will be displayed on your screen.
Scan the QR Code
- Open your authenticator app on your mobile device
- Look for an option to add a new account (usually a + button or "Add Account")
- Select "Scan QR Code" or "Scan Barcode"
- Point your phone's camera at the QR code displayed in CaseCompass
- The app will automatically capture and save your CaseCompass account
Alternative: Manual Entry
If you cannot scan the QR code:
- Look for the alphanumeric setup key displayed below the QR code in CaseCompass
- In your authenticator app, select "Enter key manually" or "Manual entry"
- Enter an account name (e.g., "CaseCompass")
- Copy and paste or type the setup key from CaseCompass
- Save the account
Step 6: Enter the Verification Code
- Your authenticator app will now display a 6-digit code for CaseCompass that refreshes every 30 seconds
- Enter this code in the verification field in CaseCompass
- Click Verify or Submit
Once verified, your MFA setup is complete and you'll be logged into CaseCompass.
Logging In After MFA Setup
For all future logins, you'll need both your password and an MFA code:
- Enter your username and password
- Click Sign In
- When prompted, open your authenticator app
- Find the CaseCompass entry and note the current 6-digit code
- Enter this code in CaseCompass
- Click Confirm
Note: The code changes every 30 seconds, so if it doesn't work, wait for the next code to generate and try again.
Troubleshooting
Code not working?
- Ensure your phone's time is set to automatic (authenticator apps rely on accurate time synchronization)
- Check that you're entering the code before it expires (you'll see a countdown timer in most apps)
- Make sure you're looking at the correct account in your authenticator app
Can't scan the QR code?
- Use the manual entry option with the setup key provided below the QR code
- Ensure your phone's camera has permission to access the camera in the authenticator app
- Try adjusting the brightness of your screen or the distance between your phone and screen
Lost access to your authenticator app?
- Contact the CaseCompass support team via support@casecompass.com
- They can reset your MFA settings so you can set up a new device
